The Administrative Assistant provides comprehensive administrative services that enable the Representation Section to fulfill its role in a timely and credible manner.  Under the direction of the Coordinator of the Representation Section, this position maintains the administrative aspects of the Section while carrying out the wide variety of administrative, secretarial and clerical responsibilities to ensure the Section’s efficient operation.  This includes scheduling of cases for hearing, as well as advising the Coordinator on related referrals and assignments within the Section to ensure work is directed appropriately.  This position is responsible for the organization and distribution of the administrative work of the section, including reviewing the work of other administrative staff of the section, and providing guidance and assistance to them where necessary.  The Administrative Assistant provides secretarial and administrative support to the Coordinator, as well as national and/or regionalized Officers of the Section, if and when required.

Qualités requises: 

Education and Experience:

  • The position requires general administrative and secretarial knowledge and ability associated with successful completion of business and/or secretarial training, or equivalent normally provided through several years of experience in providing secretarial services relevant to the duties of the position.

Knowledge:

  • Knowledge of trade union’s role, objectives, and activities as well as an understanding of and commitment to union and equity principles, PSAC policies, constitution, regulations and objective;
  • Proficiency in the use of Windows’ applications such as Word, Excel, Access and Power Point and e‑mail, Internet and financial systems.

Abilities:

  • Well‑developed time management skills to plan, prioritize and meet deadlines effectively while remaining focused in the face of multiple distractions;
  • Strong problem‑solving abilities;
  • Ability to work independently with minimal supervision and cooperatively on a team;
  • Excellent written and oral communications skills in both official languages;
  • Ability to work under pressure and meet strict deadlines;
  • Skill in organizing material, information, in a systematic way to optimize efficiency and minimize duplication of effort;
  • Ability to deal with sensitive information in a diplomatic and tactful manner.

Personal suitability:

  • Exercise good judgment in a politically sensitive environment.
